Levi’s Denim Installation, March 2014
Levi Strauss Australia & New Zealand
Manchester Lane, Melbourne – 500 Guests

Brief
Levi Strauss contacted JCH Event Solutions in relation to doing a ‘fun, effective, interactive’ denim installation in a Melbourne CBD laneway. It was to be an evening cocktail event with many celebraties and key Levi stakeholders in attendance. It was to commence in the laneway and move into the nearby venue. The ‘obvious’ technical played second-fiddle to the styling and event logistics on this event – trying to replicate the clients creative ideas was the key.

Responsibility

  • To take the clients creative and turn it into a stylish reality – installing the laneway denim laundry!
  • Rigging and OH&S requirements of what was effectively a 7m high outdoor ‘art’ installation.
  • Moving head FX lighting in the laneway which interlaced the styling and the technology for greater impact and guest ‘wow’ factor.
  • Static, precise, colour corrected lighting and rigging inside the venue for the very busy activation area.
  • Project Management which worked closely with the client and key personnel of not only the venue but other laneway properties to ensure it was a stress-free event for all concerned.

Challenges
Extensive documentation needed to be produced by JCH Event Solutions to ensure that the public access laneway met strict OH&S requirements during the installation and removal of the ‘denim laundry’. This management was a specific and integral part of the event. All-terrain motorised scissor lifts worked at the 7m height throughout to deliver the creative vision while crowd management was constant and precise below.

The event was designed so guests could in fact ‘steal’ the jeans! Consideration to rigging weights, clothesline thickness, peg durability and the way downward strands of jeans would interlace so as jeans still positioned at 7m would come free was a pre-production engineering feat fit for NASA……. and JCH Event Solutions.

As residential properties line the laneway on both sides moving head lights were programmed very carefully outside to ensure no inconvenience was incurred by tenants throughout the event.

While inside precise, even, colour corrected static lights washed the activation (sewing) area. Rigging needed to be weighted carefully and lights positioned suitably to not only ensure work could be done but the high guest volume was safe also.

Results
The event was hugely successful with everybody having a great evening and embracing the unique concept. Levi Strauss staff were wrapped with how their creative imagination was brought to reality and how all aspects of the evening ran so flawlessly.

Spirit of Excellence Awards, August 2011

CitiPower & Powercor Australia

Ballroom, Park Hyatt – 150 Guest

Brief

We were contracted by CitiPower & Powercor to work with them on their Spirit of Excellence Awards. A high profile, black tie internal event that recognises outstanding achievement set in the Park Hyatt’s pristine ballroom.  The technical needed to be of the highest quality and versatile enough to cover both awards and entertainment aspects of the evening.

Responsibility

  • Visual component that included 2 screens, 2 high-end projectors and complex switching equipment.
  • Modular audio system where even distribution for guest satisfaction was critical during the awards section, while a full range band system was concentrated on the dance floor.
  • Lighting was neat and precise highlighting the central awards stage in basic white and then breaking into a full colour LED show (band and dance floor) for the entertainment.
  • Project Management which worked closely with CitiPower and Powercor to take out the stress of all technical aspects.

Challenges

To come up with a unique room layout that ensured the awards section was positioned amongst the guests, while the entertainment stage and dance floor was strategically positioned slightly away.

To work closely with CitiPower & Powercor’s multimedia supplier and their complex multilayered awards content. Rehearsals were essential to ensure switching was seamless between multiple laptops and the MC was aware of ‘package’ cues.

To work with the entertainment’s specific audio requirements so their component was delivered beyond client expectations.

Results

The event was hugely successful with all guests thoroughly enjoying both the awards and entertainment sections. A technically flawless show was delivered by us without a single issue. CitPower & Powercor were wrapped with how smoothly all aspects of the event came together.

Annual Dinner and Alumni Awards

Annual Alumni Awards and dinnerCase Study

Annual Dinner and Alumni Awards, October 2013

La Trobe University

The Great Hall, NGVi – 350 Guests

Brief

JCH Event Solutions has an outstanding relationship partnering with the events team at La Trobe University on many of their exciting and varied events. Over a 6 month period, JCH Event Solutions worked closely with La Trobe University on their Annual Dinner and Alumni Awards to deliver both a breath-takingly stylish and technically layered event to La Trobe University’s most senior personnel.

Responsibility

  • A vision component that included 3 screens, 3 high-end projectors, 2 independent content feeds, complex switching equipment and 2 manned camera locations to capture the entire event.
  • Large scale lighting design to work with the amazing architectural design of NGVi’s Great Hall and the stage and table décor JCH Event Solutions crafted.
  • Coordinate a thorough audio system where even distribution for guest satisfaction was critical throughout speeches and awards. It also needed to be flexible enough to accommodate a high profile entertainment piece.
  • Project Management which worked closely with La Trobe University to take out the stress of those technical and styling aspects.
  • Venue liaison to ensure all parties knew their roles in delivering not just a flawless event but all aspects from load in to bump out.

Challenges

A visual concept was designed where the central screen would run differing content to that of the two screens set on the outer balconies. Technical schematics were drawn to ensure all vision inputs were split over two high-end switchers while an experienced operator on the night ensured every cue to every screen was perfectly executed.

Working in The Great Hall at NGVi creates its own unique set of challenges. As it is a public space, all works needed to be completed outside of operating hours. This requires extensive scheduling consideration, with a pre-rig occurring overnight the night before the event for all flown equipment, then a frantic team of technical and styling crew return only hours before the event to put the finishing touches on the ground based components. Further to the scheduling consideration all crews moving throughout NGVi need a security escort as the venue houses millions of dollars worth of art. This can make the most simple of technical tasks take just a little bit longer.

As with La Trobe University’s policies, JCH Event Solutions had to utilise a certain amount of in-house production and technical staff. As always this simply required clear and effective communication from the outset to ensure all parties were on the same page in delivering this flawless event.

Results

Comments by guests indicated it was the best Annual Dinner and Alumni Awards to date. All aspects of the technical ran smoothly and to cue on the night. The main entertainment’s operatic arias brought massive applause and standing ovations from some sections of the appreciative audience, while the amazing room and stage styling tied the whole event together perfectly. It was another successful and flawless partnership between La Trobe University and JCH Event Solutions.

Perfect Events

Peninsula, Melbourne Docklands – 1,150 Guests

Brief

Perfect Events approached us to work with them on the upcoming Jerry Lewis event. It was to be a high profile event that would sell-out in one of Melbourne’s most prestigious venues.  The technical needed to be of the highest quality and vary considerably given the many layers of entertainment throughout the night. We were also asked to come up with a stylish stage look that captured the essence of the evening.

Responsibility

  • Large scale lighting design to work within the room, emphasise the stage styling and provide plenty of variety for the many layers of entertainment.
  • A vision component that included 4 screens, 4 high-end projectors, complex switching equipment and 2 x manned camera locations to capture the entire event.
  • Stage styling that had elements of Las Vegas which we designed, pitched, manufactured and delivered.
  • Coordinate a thorough audio system where even distribution for guest satisfaction was critical. It also needed to accommodate a variety of entertainment requirements.
  • Project Management which worked closely with Perfect Events to take out the stress of those technical aspects.
  • Venue liaison to ensure all parties knew their roles in delivering not just a flawless event but all aspects from load in to bump out.

Challenges

After the industry renowned dramas of the Jerry Lewis visit in 2010, with a different audiovisual supplier it was highly critical and constantly emphasised in the lead up that in 2011 there was not to be the same technical issues. We worked diligently with Jerry’s touring team and where critical supplied back up technical to ensure all potential problems were eliminated.

To tie the extensive technical component in with the styling of the room so that it was transparent and didn’t detract from the overall room look.

With many layers and greatly varied entertainment throughout the night, it was critical to produce then deliver a thorough rehearsal schedule so strict run sheet times could be adhered to on the evening.

To work closely with the venue to ensure the technical schedule and floor plan fit in with their banquet set up as the room was stretched  to capacity so all components needed to be covered thoroughly from the second we arrived on site to the last moments as we departed – 25 hours in total.

Results

The event was a huge success with guests thoroughly enjoying the stylish affair. The stage styling complemented the room perfectly. Perfect Events were elated as Jerry Lewis delivered a complete, technically flawless show without a single issue. After a hectic rehearsal schedule in the afternoon, the professional technical team delivered each component that evening with precision and excellence.

AgriBio Building Launch, April 2013

Citrus Communications

La Trobe University, Bundoora Campus – 320 Guests

Brief

Citrus Communications contacted JCH Event Solutions in relation to launching the multi-million dollar state-of-the-art AgriBio Science Building. It was to be a morning launch with state government officials, including the Premier of Victoria, and all other key stakeholders attributed to the project in attendance.  The technical needed to be of the highest quality across two areas – pre/post event and the actual launch area.

Responsibility

  • A visual component that included 8 LCD Screens across two areas running various content at different times.
  • Modular audio systems where even distribution for guest satisfaction was critical throughout the event, while an audio feed was also required for a live webcast and a media splitter for those reporting within the room.
  • Due to the time of day and large amount of ambient sunlight within the event space, event lighting was minor but still given the attention it required. Tailor made gobos were fitted in moving head lighting fixtures and positioned in the shadows for the greatest effect. Stage lighting was basic but specifically matched to the sunlight to lift presenter’s faces for both webcasting and media.
  • Staging risers were carefully considered in order to work around pieces of furniture within the event space that could not be moved. JCH Event Solutions provided the main stage, media risers and webcast camera risers. A basic black backdrop and plaque reveal were also provided and positioned at the main stage.
  • Project Management which worked closely with the client and key personnel of the new building to take out the stress of all the technical requirements.

Challenges

As it was the AgriBio building’s first major event the venue needed to be comfortable that JCH Event Solutions could abide by their stringent OH&S procedures. Floor plans, equipment lists, technical schedules, JSA and SWMS documentation were all exchanged to-the-letter – along with full staff inductions. The result was that the JCH Event Solutions team left the brand new AgriBio building exactly the same way they had found it.

JCH Event Solutions also worked closely with other Citrus Communications suppliers, such as webcasting, to ensure all aspects of the event were suitably met. Pre-production meetings were essential to ensure switching was seamless between multiple laptops, cameras and DVD playback.

Results

The event was hugely successful with all parties excited about the opening of the new building, as they should be! A technically flawless show was delivered by JCH Event Solutions without a single issue. Citrus Communications were ecstatic with how smoothly all aspects of the launch came together.
